Lost Contacts = Lost Opportunities

It would seem to me that from the email view screen, where it shows the message content and also lists:

Contacts and Leads on this Email

We should be able to see any email address cc'd on that email, even if they are not in the Salesforce database AND we should then be able to "create new contact" "create new lead" "add to existing contact" etc right from that page.

I’m happy to hear new ideas
    David,

That's an interesting idea. We typically assume that people will do all their email creation from the Pending page, as it has a tailored user interface for that purpose.

If I read you right, you're proposing that we put a little bit of that Pending flavor into the Email View page as well - a small section showing you the unlinked addresses for the email w/ the standard Pending operations. I can see how that would be useful.

One argument against this is that the queries that create the Pending Page - in particular, figuring out which Account(s) to suggest - are somewhat expensive, and putting them into the Email View page would slow down the rendering of that page.

thanks for the idea - we'll add it to our list of considerations.

  • I hear you. Slow is bad.

Maybe better... could the act of creating contacts and attaching them to accounts be present on the email details page? If an email address on the email message screen had a little button next to it to (create or add to existing contact)+(because that address is not in salesforce) that would be a major nice. At that point you probably already know which account they are going to need to be added to (or created) and the user can just see a good old salesforce search field to find or create the account you want to add them to

    No Pending query needed.

    What do you think?

  • I see what you mean.

Another possibility is to make the "create contacts/leads" section something that is hidden by default, and we only run the "suggested account" query when you expand it to show the creation UI. Would that work for you?

  • That is the first option I was thinking then I went to thinking 'lowest system overhead'. Either option would be a great improvement to us.

  • Hi John. Hoping you have possibly come back to this issue? I am constantly finding older emails (or new ones) and want to be able to click a button to 'scan this message for contacts not in Saleforce'.

You had mentioned: "Another possibility is to make the "create contacts/leads" section something that is hidden by default, and we only run the "suggested account" query when you expand it to show the creation UI." which I think is about the same thing?

  • David,

You're right, having a "scan this message" button would amount to the same thing as what I mentioned.

This is a good idea but not something on the near-term development schedule - sorry. It's in the mix, but has no date associated with it.

    thanks,
    John

  • How about this... would you consider adding a button on the email page that would

[take me to the actual "Pending Contacts and Leads" page where this particular email is stored in the pending queue so I can add the contact from there]

Your system as it is now forces the user to have to constantly do housekeeping and attend to email address's I just want to ignore. I am already ignoring them. I am not adding them so they are by default 'ignored'. I do not like to go into a separate page and process and weed through a pile of address's I don't care anything about to try to decide which ones to ignore so I can get deep enough into the queue to find the ones I might want to add 'easily?'.

I want to add contacts at the moment I want to add them. I work in outlook so when possibly two months later I am looking at an email in Saleforce and think (I want to add that contact) I can't even find that email on your pending page. There isn't even a way to jump to a date.

Your system works. It just doesn't work the way we work.

Also... please add the persons Title to the add contact fields.

    Thanks,
    David

  • David,

There are two approaches I could imagine:

    1. Have a link to the Pending page, "paged forward" to the timestamp of the source email. This might work, although there may be complicated issues w/r/t setting / resetting the user's context so the "prev/next page" buttons works.

    2. For each address in the email that's unliked, provide two links "Create Contact" / "Create Lead" that spawns the regular salesforce "Create" page, but with the First/Last/Email fields already pre-filled. Pre-filling the Account probably wouldn't work, however.

Separately, do you have Auto-create Contacts enabled? You sound like the ideal user for that feature.

Finally - yes, extracting title & phone number information from people's signatures is also in the future features list.

  • Thanks,

    # 2 would be my preferred option and would be a massive improvement to the system.

We do not have auto-contacts enabled. I don’t believe the contacts/leads created in this manner list a lead source so we don’t want a growing list of who are likely an email address only or just name and email with no reference as to why they are there. We would probably use that if we could get the contact lead source field to populate with IHance or something like that.

Even if Title is not extracted, if it were available as a field on the pending page when add contact is selected it would be another help.

Hope to see some of these changes. I think all your users would greatly appreciate them.

  • David,

    Auto-Create
Autocreate only creates to Contacts, not Leads. We only auto-create when we can confidently choose the right Account for an email address. If you want autocreate to set the Contact "Lead Source" field to iHance, just make that the default field value in Salesforce (in the normal way Setup > Customize > Contact etc).

    Title
We are leery of adding any additional fields to the default set. However, we do support overriding the default field set with a ustom Pending page - we can put whatever fields you like on your Pending page. There is an additional charge of $20 per month (total, not per user) for custom pending pages. Please contact support@ihance.com and let us know what Lead & Contact fields you want visible, and we'll configure & add the custom page to your build.

    Create from Email View
I've prevailed upon a dev to check this out and it turns out that #1 is actually pretty straightforward, because it can hook into the paging code that already exists in the system.

We would tend toward #1 instead of #2 because we want to provide the Suggested Account feature. #2 is straightforward as well, but wouldn't provide the benefit of the Suggested Account feature.

Maybe we'll do both .. stay tuned.
